Cancellation Policies
Registration Cancellation and Refund Policy
The Organizing Committee of the International Conference on Advancement in Engineering, Technology and Social Science (ICAETSC 2026) recognizes that plans can change due to unforeseen circumstances. To ensure a fair and transparent process for all our esteemed delegates, authors, and participants, we have established the following cancellation and refund policies.
1. General Cancellation Terms
All requests for registration cancellation must be submitted formally in writing to the ICAETSC 2026 Secretariat via email at icaetscbatam2026@gmail.com. Please note that verbal or SMS/WhatsApp cancellations will not be entertained. The official date of your cancellation will be the date your email is received by our team.
2. Refund Schedule
Refunds for conference registration fees will be processed according to the following timeline:

On or before 15th September 2026: Cancellations are eligible for a 75% refund of the total registration fee (a 25% administrative and processing fee will be retained).

From 16th September to 15th October 2026: Cancellations are eligible for a 50% refund of the total registration fee.

After 15th October 2026 (Final Registration Deadline): We deeply regret that no refunds can be issued for any cancellations made after this date, as conference logistics and publication proceedings will have been finalized.
3. Author and Presenter Stipulations
To maintain the integrity of our academic program and our publication commitments, please be advised of the following:

If the primary registering author cancels their participation and no other co-author is registered to present, the accepted paper will be automatically withdrawn from the conference schedule. Consequently, it will not be submitted for SCOPUS-indexed publication.

If a submitted paper is unfortunately rejected by the editorial boards during the final peer-review process after payment has been made, the author is entitled to a full refund, or they may choose to attend as a general "Participant" (with the difference in fees promptly refunded).
4. Registration Transfer & Substitution
If you are unable to attend the conference, you may transfer your registration to a co-author or a colleague from your institution at no additional cost. All substitution requests must be emailed to the Secretariat by 15th November 2026, complete with the full name, affiliation, and contact details of the substitute attendee.
5. No-Show Policy
Delegates who fail to log into the virtual platform or do not appear at the physical venue in Batam, Indonesia, without prior written notice will be categorized as a "No-Show." No-shows are not eligible for any refund. Furthermore, unpresented papers by no-show authors may be excluded from the final publication proceedings.
6. Force Majeure & Format Alterations
Because ICAETSC 2026 is conducted in a Hybrid Mode, the Organizing Committee reserves the right to pivot the event entirely to a virtual format in the event of unforeseen global circumstances, travel restrictions, or natural disasters (Force Majeure). Should this occur, physical registrations will be converted to virtual ones, and the Committee will communicate any partial refunds or adjustments directly to the affected delegates. Please note that the Committee cannot be held liable for any personal travel, visa, or accommodation expenses incurred by participants.
7. Refund Processing Time
Please allow between 30 to 45 working days after the conclusion of the conference (3–4 December 2026) for all approved refunds to be successfully processed and credited back to your original method of payment.
